The “Pick Your Perk” promotion is offered by SilverBirch Hotels & Resorts (the Company) through its participating hotels. The program is administered by the Company on behalf of its hotels at 1600, 1030 West Georgia Street, Vancouver, BC V6S 2Y3. The incentive is available to planners and 3rd party meeting planners. The “Pick Your Perk” promotion will be awarded to qualified meeting planners who book and actualize a group meeting between September 1st 2011 and March 31st 2012. The planner will be able to choose perks based on the number of rooms contracted and consumed.
20 – 49 Room Nights – Pick one perk
50 – 100 Room Nights – Pick two perks
101 – 250 Room Nights – Pick three perks
251 and above Room Nights – Pick three perks and get an ipad

Perks:

• 10% Rebate to Master Account OR we donate 10% on your behalf to your favourite charity
• Complimentary 1 per 20 on Actualized Room Nights
• 5 Upgrades for Group VIPs
• Complimentary future all inclusive Daily Meeting Package for up to 10 Attendees
• Complimentary One Hour Reception Evening of Arrival
• Complimentary Coffee Break

Terms:

• Subject to availability. Not available with any other discounts, promotions, Daily Meeting Packages or previously contracted business.
• Rooms cannot be accumulated with multiple meetings.
• Rebate to Master Account excludes audio visual rental costs and is based on the total invoice prior taxes.
• Complimentary reception includes domestic beer, wine and Chef’s selection of hors d’oeuvres and will be based on equal number of guestrooms, i.e. 20 rooms = 20 covers for reception.
• Coffee break includes coffee, tea and Chef’s selection of 2 coffee break items, number of guests will be equal to the number of guestrooms blocked on peak night.
• 5 VIP guest room upgrades are based on availability at the time of booking and will be secured from inventory at that time. The hotel has the right to change these upgrades to other room types at time of check-in, however first priority will be given to these Upgrades. Room types may vary by hotel.
• The Perks awarded have no cash value and are not retroactive. Awards will be issued to the final bill or credited after payment has been received.
• Commission is based on group rooms actualized only.
• The planner will choose the number of perks based on the number of rooms contracted, however eligibility and determination of final perks will be based on consumed rooms. In the event, the contracted rooms do not meet the required rooms for that tier (i.e contracted at pick 3 perks but consumed enough to meet only receiving 2 perks) the client will be contacted to revise the perk choices prior to final invoicing.
• The meeting incentive is offered at participating SilverBirch Hotels & Resorts.

Program Cancellation or Changes
The Company reserves the right to restrict, change, suspend, discontinue or cancel this program without notice. Any such changes or cancellation will be shown on the GreatCanadianMeetings.com website and be effective immediately. The Company will attempt to notify planners of changes, but will not be liable for failure to do so. Awards will not be provided if the planner has violated these Terms and Conditions; misrepresented or misused the program; violated any law or regulation in connection with the use of the program; or, failure to pay hotel charges. The program does not give rise to any legal or contractual rights by planners against the Company, its hotels, brand or program partners. All fraud, violations or abuse of the program are subject to appropriate administrative and/or legal action by the Company and government authorities.

Special conditions
Planners may receive special conditions offered by participating hotels and may therefore be excluded from this incentive. For example, some hotels may base incentive on qualifying rates and menu programs. This may vary from hotel to hotel.
